Purpose |
The Job Details displays the returned files and the overall summary information for the types of data files being exchanged from the IRIS system.
Once the data is processed by the IRIS, there are 3 types of job Status that may be displayed.
Complete: All the data was processed.
Error: An error occurred while processing due to the data file format.
Exception: An internal error occurred while processing the data.

The screen is divided into three sections, Top, Middle, Bottom.
Top Section: Displays the type of data files available to users to download.
Middle Section: This section displays the type of data files being downloaded, the user name, and download date.
Bottom Section: This section displays summary information for the job.
Processed - Total number of records processed:
Accepted: total number of records accepted
-- New: Records added
-- Updated: Modified existing records
--Deleted: Immunizations entered by your organization that were deleted from IRIS.
Already in IRIS: Total number matching existing records
Rejected: Total number of records rejected
Pending: Total number of transactions pending
Immunization Deducted From Inventory: Total number of records added that are deducted from inventory
Immunization Not Deducted From Inventory: Total number of records added that are not deducted from inventory
-- New Immunization Not Deducted: Total number of new owned records added that are not deducted from inventory
-- Historical Immunization: Total number of historical records added
Potential Duplicates: Number of immunizations added for the same patient that have vaccination date within +- 2 days of an existing immunization with the same vaccine group owned by a different organization.

The Flat File format Specification consists of four fixed length ASCII text files, Patients, Immunizations, Comments (optional), Event (optional) file with a Record Identifier which ties the 4 together.
Provider organizations may have the following processing types: "Bidirectional" or 'Single direction" (IRIS to Provider) or (Provider to IRIS). Note: The Event file is Inbound (Provider to IRIS) only.
Bidirectional Processing types: Returns up to 3 files types below.
Patient file: This file contains the information for the patients that have been updated since the last data exchange.
Immunization file: This file contains the information for the patients immunizations that have been updated since the last data exchange.
Comment file: This file contains the information for the patients comments that have been updated since the last data exchange.
Response file: A file which is used for bidirectional and Provider to IRIS transfers: this response file tells information about all of the patients that were in the batch that was just processed.
How many patients were added to the database
How many patients were rejected
How many immunizations were added or rejected
Single direction Processing type: (Single Direction Provider to IRIS) will generate a single response file.
Single direction Processing type: (Single Direction IRIS to Provider): returns the 3 files types below.
Patient file, Immunization file, Comment file,
For example: If the last data exchange was on March 12th, and a patient received a shot that was added using the browser on March 15th, then if the next batch upload occurred on March 18th, the patient would show up in the patient, immunization and (optional) comment files.

The HL7 File format: The ANSI HL7 standard is widely used for data exchange in the health care industry. The CDC has worked with HL7 developers to create a set of messages that permit exchange of immunization data, that will be used for patient and immunization record exchanged between the IRIS and outside systems.
Provider organizations may have the following processing types: "Bidirectional" or 'Single direction" (IRIS to Provider) or (Provider to IRIS)
Bidirectional Batch Processing types: will return up to 2 file types below.
Output file A file that contains information on the patients, including immunizations and comments since last data exchange.
Response file: A file that indicates the outcome of the processor's attempt to load the file sent by a provider.
- It will indicate if a message / record was successfully incorporated into IRIS.
- It will indicate if the message had some errors that did not prevent the record from being inserted/updated, but some information was not included in the insert / update.
- It will also indicate which records were not accepted and the error that caused the rejection.
Single direction Processing type: (Provider to IRIS) will generate a single acknowledgement response or query response.
Single direction Processing type: (IRIS to Provider): will generate a single output file (if any) patients or immunizations changed since last updated.
Completed Job: HMO Query File |
HMO Query, will return two files a Demographic (patient) file and a Immunization file, to the HMO and will be created for all accepted queries.
Demographic file: These files contain the demographic information for the patients that have been updated since the last batch upload.
-- The demographic (patient) and immunization files will be fixed length text records with no record delimiter.
-- The demographic (patient) information will be provided to the HMO as it appears in IRIS.
Immunization file: These files contain the information for the patients immunizations that have been updated since the last data exchange.
-- The immunization information will be a compete history from all immunization providers in IRIS.

An Exception file will be posted only if an exception occurs.
Exception file: These files contain the exception information for the patients, immunizations, and comments that have been updated since the last batch upload.
-- An exception file will be provided to the HMO for queries that could not be processed.

The following Exceptions may be generated:
Chart Number not found for this organization in IRIS (includes Medicaid patient).
Demographic information (Name, DOB) does not match information in IRIS database.
More than one chart number was found for the organization submitting the query.
Invalid patient id type identifier (must be M or C).
Date of Birth is not a valid date.
Query record is blank or empty.
Query record is too short or too long.
A provider organization other than the one making the request has not given consent to distribute immunization information.
There are no immunizations for the patient.
Existing Patient ID/Patient ID Type in the query file.

Users can download the response file with error messages, the inbound file submitted and the outbound file (if it is generated.
To download the desired file click the blue underlined file name starting with 'Inbound...'
To return to the previous screen click the Cancel button.

Error Status:
This screen will be displayed if a data exchange to the IRIS is not accepted.
Top section explains the reason the data was not uploaded.
Second Section: displays the users original files exchanged with the IRIS.
Bottom Section: Keeps a historical log of users and dates of files downloaded.

To get the latest download log information click the Refresh button.
