Event Maintenance Screen

 Purpose

The Event Maintenance Screen is used to view, enter, or edit a pandemic response event or preparedness exercise (such as a response event to a pandemic Influenza outbreak.) Only IRIS System Manager users can access the Event Maintenance screen. The Event Maintenance Screen can also be used to create vaccine prebooking events. Vaccine Prebookings allow the providers to request seasonal vaccines (ex: Flu) in advance and helps the State to manage the seasonal vaccines effectively.

Field Name

Description

 Event Code

For Prebooking events, this will be the Prebooking event window name (Ex: Flu Season 2018-19). For CRA events, this is the event code for the event that will be displayed on the weekly aggregate reports submitted to the Countermeasure and Response Administration (CRA) system.

The event code is limited to 20 alphanumeric characters and cannot have punctuation or spaces.

Description

This is the long description of the event, which is displayed for IRIS users. The description allows 60 characters, and (unlike the event code) punctuation and spaces are allowed.

 Prebook Request section

 

Field Name

Description

 Prebook Request Window Status

The Prebook request window status can be either 'Open' or 'Closed'. The window status determines if a prebook event will be  available for Prebooking, Allocation, Request etc.

From

This is the start date of the Prebook Window.

To

This is the end date of the Prebook Window. The Prebookings created after this date will be considered 'Late'.

System-wide Days to Auto-return Allocated Doses to Pool

This is the no of days set at Prebooking event level. If an allocation is not requested before this no of days, the allocation will be auto-returned to State for re-allocation.

Select the Vaccine Type(s)

The left box will list the available NDCs for this event and selections can be made using the 'Add', 'Add All', 'Remove', and 'Remove All' buttons. The NDCs selected and saved will be available for providers to prebook.

Entering a new Prebooking event

  1. Click the Add Event button.

  2. Type the event code. This is a required field.

  3. Type the event description. This is a required field.

  4. Select Window Status.

  5. Type the From Date (format: MM/DD/YYYY), or select a From Date using the Calendar icon.

  6. Type the To Date (format: MM/DD/YYYY), or select a To Date using the Calendar icon.

  7. Enter the 'System-wide Days to Auto-return Allocated Doses to Pool'. If left blank, it will be considered as 0.

  8. Select the NDCs available to the Prebook event.

  9. Click 'Add Bulk Order' to add the bulk order details for the selected NDCs.

Viewing or Updating an Existing Event

  1. Select an event from the 'Select an Event to Edit' pick list. Optionally, click the hyperlink for the desired event from the 'Event Listing' section.

  2. The selected event record will be displayed.

  3. Make any desired updates and/or changes to any of the information fields.

  4. Click the Save button.

Deleting an Existing Event

  1. Select an event to delete from the 'Select a Event to Edit' pick list. Optionally, click the hyperlink for the desired event from the 'Event Listing' section.

  2. Click the Delete button. A pop-up confirmation message box will appear.

  3. Click the Ok button to confirm, or the Cancel button to stop the operation.

Viewing All Events

  1. Click the List All button.

  2. The main Event Maintenance screen will appear displaying the 'Event Listing' section and all saved events.

  3. Click on an event hyperlink to view that event's information.

 Manage Event Bulk Orders

 

Field Name

Description

Selected Products (NDC - Trade Name)

The NDCs selected in the event screen are listed in NDC - Trade Name format.

Type

This column displays the type of prebook request e.g. VFC, Adult, and Pandemic.

Bulk Order

This column displays the no of doses bulk ordered.

Bulk Order Date

This column displays the date doses bulk ordered.

Prebook Request Cut-Off Date

This column displays the cut-off date after which the vaccine will not be available for prebooking.

Command Button

Description

Clicking the Save button will save the bulk order details.

Clicking the Cancel button will not save any changes and the user will be redirected to event screen.

Clicking the Refresh button will sync the NDC and prebooking type rows to match with the Manage NDC screen. For example, if a NDC is modified to have an additional prebooking type after the NDC is added to the event, the Bulk Order Screen will not have it until the Refresh button is clicked.

 CRA Event section

 

Field Name

Description

 Event Code

This is the event code for the event that will be displayed on the weekly aggregate reports submitted to the Countermeasure and Response Administration (CRA) system. The event code is limited to 20 alphanumeric characters and cannot have punctuation or spaces.

Begin Date

This is the Begin Date of the Event.

End Date

This is the end date of the event. An ongoing or future event may not have an end date listed.

Project Area

Partner jurisdictions or project areas that are recognized as valid values for submitting aggregate reports to the CRA system. Idaho has one Valid Value "Idaho" for reporting. If there are multiple valid project areas, a pick list will be displayed, so you may select a project area for you event.

Report Run Day(s)

The default report run day is Tuesday. If you would like the report to run more often, simply check the day you would like the report to run. The report is set up to run in the early morning hours of the day selected.

Vaccine Types

For a pandemic response event, relevant countermeasure substances are specified as vaccine types.

Selecting the Vaccine Reporting button will display all the selected vaccine types for the event. If you would like to report a selected vaccine under a different vaccine type, select the vaccine type under the Report Under Vaccine Type column.

Included Dose Number Counts

Based on the requirements of an event, dose number counts may or may not be required to be submitted in the weekly aggregate report counts to the CRA System. Dose Number Count is the number of vaccines administered to a patient for the event (example: the patient's 1st Influenza shot, 2nd Influenza shot, or other.)

Age Groups

For a pandemic response event, the patient population is to be screened and categorized into a selected list of age groups. During a pandemic response event, procedures are followed and vaccines are administered to persons meeting appropriate age groups.

Priority Groups

For a pandemic response event, the patient population is to be screened and categorized into a selected list of priority groups. During a pandemic response event, procedures are followed and vaccines are administered to persons meeting appropriate priority groups.

Organizations

For a pandemic response event, organizations administering countermeasure vaccines are associated to the event.

  1. Click the Add Event button.

  2. Type the event code. This is a required field.

  3. Type the event description. This is a required field.

  4. Type the Begin Date (format: MM/DD/YYYY), or select a Begin Date using the Calendar icon.

  5. Type the End Date (format: MM/DD/YYYY), or select a End Date using the Calendar icon.

  6. If only one project area exists, it will be displayed and is not editable. If multiple project areas exist, select a project area from the "Project Area" pick list.

  7. Report Run Day(s) default is Tuesday.

  8. Selecting Vaccine Type(s):

  9. Select whether or not to Include Dose Number Counts on the weekly aggregate reports by selecting either Yes or No option button.

  12. Click the Organization Listing button to go to the Select Organizations for Event screen and manage organizations for the event. This button also saves information on the Event Maintenance screen.

  13. Click the Save button to save information on the Event Maintenance screen.
