Schedule Information

 Purpose

The Schedule Information screen allows a user to modify/edit existing series or add new series.   Once all portions of this screen are complete, click the Manage Another Series button and then click Save button on manage schedules screen  to save all changes to the schedule.

    Schedule Information:  This section displays the schedule name, description, Grace Period in Days and the current series name as described in the table below.

Displays the name of the schedule you are modifying/creating.

Description

Displays the description of the schedule you are modifying/creating.

Grace Period in Days

Displays the number of days grace period that applies to the schedule you are modifying/creating.

Current Series

Displays the Current Series Name the user is modifying/creating.

Click this button to  return to the Schedule Details Screen.  This button does not save changes to the series.  You must click save from the Schedule Details Screen to save all schedule changes.

Complete Series Tab

 The Complete Series Tab displays a viewable summary of the whole series.    The top section lists general series rules.  Additional tables will display if the series has certain rules setup.   A the bottom are the dose level rules.

 Note that the Seasonal Rules that may exist for a series are not displayed within the section.

Displays Yes if the series allows the minimum grace period on age rules.

Max Grace Age

Displays Yes if the series allows the maximum grace period on age rules.

Min Grace Int

Displays Yes if the series allows the minimum grace period on interval rules.

Invoke on Age

Displays Yes if the series is recommended when a patient reaches a specific age.

Invoke on Use

Displays Yes if the series is recommended once an acceptable vaccine for the series is in the patient's immunization history.

Invoke on High Risk

Displays Yes if the series is recommended for patients is being viewed by a provider organization marked as being in a high risk area.

Max Dose

Displays Yes if there is a  maximum number of doses a patient can have by a certain age for a series.

Override

Displays Yes if the series has an override primary series rule.    This rule is used in the Td series.

Seasonal Adjustment

Displays Yes if the series has any has seasonal rules.   These rules are in the influenza series.

Vaccine

Lists the vaccines that are acceptable for the series.

 Rule

Displays the type of rule:   Dose (Dose Size),  Age (Trade Name Age) or Display (Vaccine display).   The Display rules are used in when a vaccine may apply to different vaccine groups based on the patients age.  The vaccines must have 'inadvertent' configuration setup in the database before this rule can be used on manage schedules.    A display rule may be setup to display a Tdap immunization  given to a patient under 7 years as part of the  DTaP vaccine group.  A Tdap given to a patient 7 years and older apply to the Td/Pertussis series.   The Display rule feature is not currently available in IRIS.

 Trade Name

    Displays the Trade Name only if there is a specific Trade Name Age rule for the vaccine.     This rule is only used if a specific trade name within the   acceptable vaccines has a more restrictive age range than the series.

 Size

Displays the Dose Size for what is considered a 'Full'  or valid dose size for the vaccine administered from inventory.   This rule is only used if a acceptable vaccine has multiple formulations with different dose sizes that are valid for different patient ages.

 Mult

Displays the Multiple for the Dose Size rule.    '1' indicates a full dose, '2' a double dose, '0.5' a half dose.

 Min Age

    Displays the minimum patient age for the rule.  Minimum age is defined as a patient EQUAL TO OR GREATER THAN the minimum age.

Max Age

Displays the maximum patient age for the rule.   Maximum age are defined as a patient LESS THAN the maximum age

   Primary

Displays Yes if the series has an override primary series rule.    This rule is used in the Td series.

    Displays the number of valid doses in the alternate vaccine group series required in order to replace the number of doses in Doses Replaced column.

Doses Replaced

Displays the number of doses in this series that are satisfied (skipped) by valid doses in the alternate series vaccine group.

Displays the Contraindication, Precaution or Immunity that a patient must have on file in order to specify a specific Vaccine or Vaccine Series in the  patient's  recommendations.  The Conditions column can also list a vaccine if the number of doses of the vaccine will determine a specific vaccine or series should be recommended.  

 Compare

Displays a comparison operator (>, < = )  that is used in evaluating a specific vaccine to display

 Count

    Displays  the count of immunizations from the vaccine group that need to have been administered.

 Valid

Displays if the doses administered have to be valid in order for the rule to apply.

 Min Age

    Displays the minimum patient age at the time the doses were administered.

Max Age

Displays the maximum patient age of the time the doses were administered.

   Vaccine/Series Display

Displays the specific vaccine or series to display in recommendations if the rule conditions are met.

Displays the effective date of the rule.    Patients that are within the age range on the Effective Date are required to be the rule to satisfy the series.

   Show Recommendation

Displays Yes if the vaccine requirement displays in the Vaccine column in the Recommendations section of Immunization History .

 Use Optional Dose

Displays the Optional Dose rule, if any, linked to the Require Specific Vaccine Rule.

Displays the minimum recommended age for this series.  If the patient is younger than this age, the series will not display in recommendations if there are no immunizations for this vaccine group in the patient's history.

 Maximum Age

Displays the maximum recommended age for this series.  If the patient is  EQUAL TO OR OLDER that this age, the series will not display in recommendations if there are no immunizations for this vaccine group in the patient's history.

Number

    Displays the dose number in the series.  For a repeating booster dose, the column will show Booster.

Age Rule

Lists the minimum (Min), recommended (Rec), overdue (Ovr), and maximum (Max) age rules associated with the dose.

Adjacent Interval

Lists the minimum (Min), recommended (Rec), & overdue (Ovr) intervals for the next dose in the series.

Jump Forward

Shows the number of doses (Doses)  in the series that can be jumped when the patient is at a specified age (Min Age).  This rule can allow early completion of the series.    Only one jump can be applied in a series.  In addition, the immunization evaluator will not jump if the jump to dose is not valid when not jumping would result in more valid doses.

Unacceptable Vaccines

List vaccines that are unacceptable to the dose within the series.   This field is used if the vaccine may be used for another doses in the series.

Non-Adj. Int.

List the Dose Number (Dose Num) and Minimum Interval (Min Int) need between nonadjacent doses within the series.

Minimum Interval to Validate

Displays the minimum interval to validate a dose from a series.  This allows a dose to be valid at a shorter interval from the previous dose than what is recommended.      The minimum interval to validate  may be from a non adjacent dose, in which case the Dose Number and Interval will be displayed.

Minimum Age to Validate

Displays the minimum age to validate a dose from a series. This allows a dose to be valid at a younger age  than what is recommended.    

Optional Dose

Displays if the dose is an optional dose in the series.    The  field displays the optional dose rule effective date (Eff. Date) , minimum (Min) and maximum (Max) age range and if the optional dose rule is linked to a require specific vaccine rule.   For the rule to apply, the patient must be within the age range as of the effective date and have not met the require specific vaccine rule.

      

Series Tab

The series tab allows the user to create or modify series level rules.    A schedule must include at least one series.

      1. If you are creating a new series the Complete Series tab will have no data. You only see the headers.

      2. If you are editing an existing Series the series details will be displayed.

      3. Click the Series tab.   Update the series information and tabs as described below.   

      4. REMEMBER TO SAVE:   Click on the Manage Another Series button on the  Schedule Information screen and then click Save on the Schedule Details screen to save all of the changes.     It is recommended that you save periodically when making changes to multiple series within the schedule  to avoid re-work.

Selecting this check box indicates if the schedule's grace period will apply to the minimum age rules for this series.

Selecting this check box indicates if the schedule's grace period will apply to the minimum interval rules for this series.

Grace Period Applies to Maximum Ages

Selecting this check box indicates if the schedule's grace period will apply to the maximum age rules for this series.

Acceptable Vaccines Tab

This tab displays 5 sections described below in order to add Acceptable Vaccine Rules to the series. This tab allows you to indicate all of the potential vaccines that can satisfy this series.  You may also set the vaccine up so that the age of the patient and dose size have an impact of validity.  (E.g. If an adult received a single pediatric dose of HepB, this is not valid.  Receiving 2 doses of pediatric vaccine will be valid.

  1. Note to modify a Maximum Doses rule, you must first delete the existing rule and add a new rule.
  2. Acceptable Vaccines
    1. Add an Acceptable Vaccine
      1. Select the vaccines from the Available Vaccines pick list that are acceptable for ANY dose in this series. You will be able to indicate any vaccine that are not acceptable for specific doses  in the series in the Doses tab. You must select at least 1 acceptable vaccine.
      2. Click the Add Button. Repeat as needed.
    2. Select a Primary Vaccine
      1. Select a Vaccine from the Primary Vaccine pick list.  There can only one primary vaccine for a series.
    3. To remove an Acceptable Vaccine
      1. Select a Vaccine from the Selected Vaccines (s) pick list.
      2. Click the Remove Button.  Repeat as needed.
  3. Trade Name  Age Rules -  This section allows the user to specify trade name specific minimum and/or maximum ages if the trade name has age range that is different than the acceptable age range for the series.
    1. Select a vaccine from the Vaccine pick list
    2. Select a Trade Name from the Trade Name pick list.
    3. Enter a Trade Name minimum age in the Minimum Age text box.
    4. Select a value from the Minimum Age attribute pick list .
    5. Enter the Trade Name Maximum Age in the Maximum Age text box.
    6. Select a value from the Maximum Age attribute pick list
    7. Click the Add Button. Repeat as needed.
  4. Dose Size Rules - This section allows the user to specify specific Dose Size Rules for vaccines based on age.  This rule is used if there are pediatric and adult formulations of vaccines within the series.  
    1. Add a Dose Size Rule. NOTE *Not specifying a Minimum Age or Maximum Age will default the age rule to the series age rules for the dose size rule.*
    2. Select a Vaccine from the Vaccine pick list.
    3. Enter the Dose Size of the Vaccine in the Size text box.
    4. Select the Multiplier of the Multitude for the Dose Size from the Mult pick list.
    5. Enter the Minimum Age for the Dose Size Rule in the Minimum Age text box.
    6. Select a value from the Minimum Age attribute pick list.
    7. Enter the Maximum Age for the Dose Size Rule in the Maximum Age text box.
    8. Select a value from the Maximum Age attribute pick list.
    9. Click the Add button  Repeat as needed.
  5. Immunization Record Display Constraints - This section allows the user to specify vaccine display constraints based on a age range.
    1. Add a Immunization Record Display Constraint.  NOTE *Not specifying a Minimum Age will default as being 0 days being no minimum age or not specifying a Maximum Age will default to 0 days being no maximum age.*
      1. Select a Vaccine from the Vaccine pick list.
      2. Enter the Minimum Age and Minimum Age attribute from the pick list.
      3. Enter the Maximum Age and Maximum Age attribute  from the pick list.
      4. Click the Add button.   Repeat as needed.
  6. Acceptable Vaccine Summary - This section displays all of the Acceptable Vaccine Rules for the series in a table described above.   
    1. To delete a rule, click on the rule Select check box next to the rule(s) you wish to delete.
    2. Click the Delete Button.    Repeat as needed.

Maximum Doses Tab

 If there are a maximum number of doses recommended for an immunization, regardless of immunity then the max doses rule applies.  

  1.   Note to modify a Maximum Doses rule, you must first delete the existing rule and add a new rule.
  2. Enter A New Rule
    1. Enter Max Dose (e.g. A patient who receives 6 or more doses of DTaP before the age of 7 years is not recommended to get more DTaP.  In this case, we would enter 6 as the max doses and 7 years as the max age.)
    2. Enter Maximum Age (Less than age)
    3. Select a maximum age attribute from the pick list.  
  3.  Delete Maximum Doses rule
    1. Click the Delete button on the Maximum Doses tab

Trade Name Tab

   If this series can only be satisfied by a trade named vaccine, enter information for this rule.

  1. To add a Trade Name Rule
    1. Select any trade names from the Available Trade name(s) list on the left into the list on the right.  More than one trade name may satisfy this series.
    2. Click the Add Button. Repeat as needed.
  2. To remove a Trade Name Rule
    1. Select a Trade Name from the Selected Trade Names (s) pick list.
    2. Click the Remove Button.  Repeat as needed.

Alternate Series Tab

  If there are other series that can replace doses in this series, add that information.

  1.   Note to modify a Alternate Series rule, you must first delete the existing rule and add a new rule.
  2. To add an Alternate Series Rule
    1. Select the alternate Vaccine Group.  Valid doses in this vaccine group will satisfy doses in this series.
    2. Enter the relationship  (Before, After, On or Before, On or After) for the age relationship.  This will control how the age at immunization for the first dose is related to the age entered above.  For example if the age is 1 year and the relationship symbol is Before, then we would say, if the patient age at immunization is less than 1 year for the first dose, then use this rule.
    3. Enter the age and age attribute for the starting dose in the alternate series.
    4. Enter the number of valid doses that need to be recorded in the alternate series.
    5. Enter the number of doses in this series that will be replaced in this series by the number valid doses in the alternate series that meet the age criteria
    6. Click the Add button.  Repeat as needed.
  3. To remove an Alternate Series rule
    1. To delete a rule, click on the rule Select check box next to the rule(s) you wish to delete.
    2. Click the Delete Button.    Repeat as needed.

Invoke On Rules Tab

Use the following tabs to Indicate if the series should only be evaluated if certain conditions prevail.   If no invoke rules are selected, the series is invoked at birth.

  1.   Note to modify a Invoke On rules and Recommended Age Range(s) when no doses received rules, you must first delete the existing rules and add a new rule.
  2. To Add an Invoke on rule to the series, select the check box next to the invoke rules   
    1. Invoke on Use
      1. Select this box if you want to see the series evaluated/recommended after a patient receives a dose from the series.
      2. Invoke on Valid Only is used with the Invoke on Use rule.    Select this check box if the series should be evaluated/recommended only if the dose given was valid.
    2. Invoke on High Risk
      1. Select this box if you want to see the series evaluated if a patient is viewed by a provider organization designated as high risk, then select Invoke on High Risk.  Note that the patient  only be considered High Risk when that provider organization is the one viewing the patient record.
    3. Invoke on Age
      1. Select this box if you want to see the series evaluated/recommended if a patient has reached a minimum age, then select Invoke on Age.  
      2. Select the Minimum Age and Age Attribute
    4. Invoke on Comment
      1. Select this check box if you want to Invoke the series validation/recommendation rules only after a comment has been added to the patient's record
      2. Select the comment from the comment pull-down menu.
      3. Determine if the series requires previous immunization history to be invoked. Select this check box if you want the validation rules only to take effect if the patient has a immunization in history.
    5. Invoke on Mother's HBsAg
      1. Select this check box if  you want to invoke the series validation/recommendation rules based on the Mother's HBsAg status.
      2. Select the status(es) that would invoke the series
  3. To remove a invoke on rules
    1. Click the Delete Button.  NOTE:   This will remove ALL invoke rules.
  4. To add Recommended Age Range(s) when no doses received... rule
    1.    This rule is used only if the series should be displayed only for patients of a specific age range when there is no immunization history.   It is often used for childhood series that are valid for adults.  Many adults have already received childhood vaccinations but adult immunization history in IRIS is often incomplete.   If it is not common to given these vaccines to adults, a rule may be setup to not recommend doses for adults.      If a dose is given, then the series will be evaluated/recommended as usual.
      1. Enter a Minimum Age and minimum Age attribute, if applicable
      2. Enter a Maximum Age and maximum Age attribute, if applicable
      3. Select the Add button.
  5. To remove a Recommended Age Range(s) when no doses received rule
    1. To delete a rule, click on the rule Select check box next to the rule(s) you wish to delete.
    2. Click the Delete Button.    Repeat as needed.

Results Rules Tab

This tab is used for vaccines like small pox that require a follow-up appointment to read the vaccination results.    The Call-Back report can be used to identify patients that  are due for result readings.

  1.   Note to modify Result Interval and Result Reading rules, you must first delete the existing rules and add a new rule.
  2. To add a Result Interval Rule(s)
    1. Enter the Minimum Read Interval and interval attribute.
    2. Enter the Recommended Read Interval and interval attribute.
    3. Enter the Overdue Read Interval and interval attribute.
    4. Enter the Max Read Interval and interval attribute.  An interval after vaccination date in which a read result finding must be taken for the immunization to e evaluated as invalid.
    5. Enter the Interval After Not Valid rule and attribute.   This is the minimum interval for a repeat dose if the result was not read or the result does not satisfying the series result criteria.  
  3. To remove Result Interval Rule(s)
    1. Click the Delete Button above the result interval value boxes.
  4. To add Result Reading Rule(s)  (If the conditions below are met, is the person immune)
    1. Enter The Result value
    2. Indicate how the results are impacted by a previous dose being recorded as historic. (In other words we know that a person had a smallpox vaccination in the past, but we don't have an actual date.)
    3. Indicate if the Series is Satisfied by the result and historical values.    
    4. Click the Add button.   Repeat as needed.
  5. Result Rules Summary
    1. To remove a Result Reading rule(s)
      1. To delete a rule, click on the rule Select check box next to the rule(s) you wish to delete.
      2. Click the Delete Button in the Result Rules Summary.    Repeat as needed.

Override Rules

This tab is used for series like Td in which the user may be allowed to override (skip) the primary doses in a series when the patient reaches the override age     If the primary series override rule is indicated, the patient will be evaluated/recommended for the repeating booster dose.   The Disregard Primary series field on the Edit Immunization screen must be YES on the FIRST DOSE in the series for the override primary series rules to take effect.   

  1.   Note to modify the Override Age rules, you must first delete the existing rules and add a new rule.
  2. To add a Override Age Rule
    1. Enter the Override Age Minimum and interval attribute. The Override rules will apply to immunizations set to Disregard Primary Series and the patient is at the Override Age or older.
  3. To remove Override Age Rule
    1. Click the Delete Button

Unacceptable Vaccine Groups Tab

When a combination vaccine is selected as the primary vaccine for the series, the series would be considered applicable to all of the component vaccine groups.   If a series for a combination vaccine applies to only one member vaccine group, set the other vaccine group(s) to unacceptable.  An example HepB Pediarix series.  The series applies to the HepB vaccine Group but for Polio or DTP/aP components.

  1. Add an Unacceptable Vaccine Group
    1. Select the vaccine groups from the Vaccines Groups pick list that are NOT acceptable for ANY dose in this series. You can indicate any vaccine that are not acceptable for specific doses in the series in the Doses tab.
    2. Click the Add Button. Repeat as needed.
  2. To remove an Unacceptable Vaccine Group
    1. Select a vaccine group from the Selected Vaccine Group(s) pick list.
    2. Click the Remove Button.  Repeat as needed.

Gender Rules Tab

Gender rule allow a series to be evaluated/recommended based on the patient's gender

  1.   Note to modify the Override Age rules, you must first delete the existing rules and add a new rule.
  2. Select the gender(s) that the rules applies to
    1. Select the check box(es) next to the gender(s) that the rule applies to.  
    2. If the gender should apply if the gender is NOT one of the above, select the gender that would cause the series to NOT apply in Step 1 and then select the check box for the 'Invoke on use for clients  with gender not selected above'.
  3. To remove a Gender Rule
    1. Click the Delete button.

Seasonal Rules Tab

This tab allows a user to specify a specific season based on dates selected and maximum ages all options are described in the table below.

The seasonal logic in the Immunization Evaluator has the aim of recommending doses on a seasonal basis in addition to using the other series information. All patients recommend for one dose per season, but patients under the age of 9 years may recommend two doses in a particular season, based on logic which often changes from season to season. It changes for two reasons: one, the CDC/ACIP periodically re-evaluates the immunogenic response to influenza vaccine, and may decide to change the logic accordingly. Two, with the H1N1 situation, the vaccine was given separately the first season (2009) and thereafter was incorporated into the regular influenza vaccine. This affected the seasonal logic, as patients under age 9 years had two potential sources of H1N1: the monovalent vaccine, or the influenza vaccine after H1N1 had been incorporated into it.

Section 1 defines the that the series should seasonal logic and the max age for two dose rules, however Sections 2-4 define the rules for when two doses are needed in a season.     The user must populate Section 1 before sections 2-4  can be enabled. A section must be enabled before values can be entered in that section.  For Sections 2 – 4:   each section is stand-alone. You can enter values in Section 2 alone, Section 3 alone, Section 4 alone, any two of them, or all three.

Sections 2 – 4 apply only to patients under the Max Age. Section 2 controls the appearance of Series information in immunization history and this is described in more detail below. Sections 3 and 4 work together to control whether a patient under the Max Age needs either one dose or two.  The “one dose or two” is now intrinsic logic not alterable via Manage Schedules. If the patient satisfies the rule, he or she needs only one dose this flu season. If both Sections 3 and 4 are enabled, the patient gets two opportunities to need only one dose this flu season.

  1.   Note to modify the Seasonal rules, you must first delete the existing rules and add a new rule.   The delete button will delete ALL seasonal rules .
  2. Section 1  Define season Begin and End dates and define the age which may need two doses this season
    1. If the user enters any one field, all fields in the section must have a value.    
    2.  Note an immunization given in off season will apply to the season that  it is closest to.  If the season is August 1 - May 31, doses given in June will apply to the earlier season, while doses in July 2 or later will apply to the later season.
    3. The season start date will be the Earliest and Recommended dates for the next dose if the patient met the doses required for the current season.
      1. Enter the season Begin Month
      2. Enter the season Begin Day
      3. Enter the season End Month
      4. Enter the season End Day
      5. Enter the Max Age.    Patients that are age or older will only require 1 dose each season.
      6. Enter the Max Age Unit (Day, Month or Year)
  3. Section 2  Restart Series when age is less than the series Max Age.
    1. The user must populate Section 1 before any of these sections can be enabled. A section must be enabled before values can be entered in that section.
    2. Section 2 controls the appearance of the series information on the Immunization History screen for patients under the Max Age, but does not affect the recommendation. Its purpose is to tie the series information to the fact that the patient needs either one or two doses this season. It shows as ‘1 of 1’ if the patient under 9 years of age needed only one dose this flu season and has satisfied the two dose requirement, or ‘1 of 2’ if the patient under 9 years of age has had one dose this flu season and needs another.    
      1. Click the check box next to Enable Series Restart.    This will restart the Series numbering in a season if the patient has not satisfied the two dose requirement in a previous season
      2. Click the radio button to indicate when the series should restart.
        1. Restart at the Current Season    This will restart the Series at the beginning of each season if the patient has not satisfied the two dose requirement in the previous season OR
        2. Restart at ___ season(s) prior to the current season.     This will restart the Series at the beginning of a prior season if the patient has not satisfied the two dose requirement in the previous season.
  4. Section 3  Prior Season Dose Count Rule
    1.  This rule allows the patient under the max age to satisfy the 2 dose requirement by receiving valid doses in previous seasons.  This rule would meet the normal seasonal recommendations if there were no pandemic influenza criteria to apply.
    2. The user must populate Section 1 before any of these sections can be enabled. A section must be enabled before values can be entered in that section.
      1. Click the check box next to Enable the Prior Season Dose Count Rule
      2. Enter number of valid doses in the  number of prior seasons that the patient must have in order to only require one dose in the current season.  This is  the cumulative number of valid doses in all of the seasons indicated.
  5.  Section 4  Additional Vaccine Group Rule
    1.  This rule allows the patient under the max age to satisfy the 2 dose requirement by achieving valid doses in previous specified seasons and by receiving a valid dose in another vaccine group.    This rule was created to satisfy a separate pandemic influenza vaccine recommendation from a prior season.   An example would be the H1N1 vaccine given in 2009 was incorporated into the normal seasonal influenza vaccine in subsequent seasons.   The patient can satisfy the rule by having  two valid doses in seasons 2010 or later (Section 3) or by meeting the rule in Section 4 that take into account the H1N! Vaccine Group and prior seasonal influenza history .
    2. The user must populate Section 1 before any of these sections can be enabled. A section must be enabled before values can be entered in that section.
      1. Click the check box next to Enable Alternate Vaccine Group Dose Count Rule
      2.  Enter the number of doses required  in this series prior to the current season;The patient must meet this requirement and one of the following:
        1. Enter the number of valid doses in this series in the ____ season(s) prior to the current season  OR
        2. Enter the number of valid doses in an alternative vaccine group in all seasons prior to the current season.    Select the vaccine group from the Vaccine Group pick list.

Vaccine Series Recommendations

Vaccine Series Recommendations Tab - This tab is used to populate the Vaccine column on the immunization recommendations on screens and reports for this series.  There are five sections that are part of this tab and each section is described below.  By default the vaccine group will display if no Vaccine/Series rules exist or apply.

  1. Patient Conditions affecting Recommendations
    1. This section allows a user to specify a specific Vaccine or Series to display based on Contraindications/Precautions/Immunities associated with the patient.
      1. Select a comment from the Contraindications/Precautions/Immunities pick list.
      2. Select a Vaccine or Series from the Vaccine/Series Display pick list.
      3. Click the Add button.   Repeat as needed.
  2. Vaccine Conflict Conditions affecting Recommendations
    1.  This section allows a user to specify a specific Vaccine or Series to display based on Intergroup Conflict Rules within the schedule.
      1. Select an Existing Vaccine Conflict Rule from the Existing Vaccine Conflict Rule pick list.  NOTE *Only acceptable vaccines that are listed as a source of an intergroup conflict will display in this pick list.
      2. Select a Vaccine or Series from the Vaccine/Series Display pick list.
      3. Click the Add button.  Repeat as needed.
  3. Date Specific Recommendations
    1. This section allows a user to specify a specific vaccine/series to be recommended due to a possible vaccine shortage.
      1. Enter a date in the MM/DD/CCYY format in the From Date text box.
      2. Entering a date in the To Date text box is optional, but if added the date format for the To Date text box is MM/DD/CCYY.
      3. Select a Vaccine or Series from the Vaccine/Series Display pick list.
      4. Click the Add button.  Repeat as needed.
  4. Vaccine Administration Conditions affecting Recommendations
    1.  This section allows the user to specify a specific Vaccine or Series to display based on Vaccine Administration conditions.
      1. Select an option from the Vaccine Administered pick list.
      2. Select an option from the Comparison pick list.
      3. Select an option from the Count pick list which is the count of doses of the vaccine administered.
      4. Select an option from the Valid pick list which is whether the doses of the vaccine administered were valid doses.
      5. Enter a value in the Min Age text box.
      6. Select an option from the Min Age interval pick list.
      7. Enter a value in the Max Age text box.
      8. Select an option from the Max Age interval pick list.
    2. Click the Add button.  Repeat as needed.
  5. Vaccine/Series Recommendations Summary
    1. This section displays all the Vaccine/Series Recommendation rules in a table described below for this series.  
      1. To delete a Vaccine Series Recommendation rule, click the check box(es) next to the rules and click  the Delete button to Remove selected Vaccine Rules from this schedule.    Repeat as needed.

Require Specific Vaccine Rules

A specific vaccine formulation may be required to be given for a series to be considered completed.  If a Require Specific Vaccine rule is set up for a series, the user has the option to show the required vaccine as a recommendation. The required vaccine will show as a recommendation until the rule has been met.   

  1.   Note to modify the Require Specific Vaccine rule, you must first delete the existing rules and add a new rule.   
  2.  At this time, the immunization evaluator will not support multiple require specific vaccine rules in a season
  3. Require Specific Vaccine rules can be stand alone, or may be used in conjunction with the Optional Dose rule.
  4. To add a Require Specific Vaccine Rule
    1. Select the required vaccine from the Vaccine pick list
    2. Select the number of valid doses required of the vaccine
    3. Enter the Effective Date of the requirement.    Patients must be within the specified age range on the Effective Date in order for the rule  to apply.     
    4. Enter the Minimum Age of the Patient on the Effective Date
    5. Select the Minimum Age attribute
    6. Enter the Maximum Age of the Patient on the Effective Date
    7. Select the Maximum Age attribute
    8. Indicate if the Vaccine Column should show that the vaccine is required in the Vaccine Column of recommendations
    9. If Optional Dose is used in conjunction with the  Require Specific Vaccine Rule, select the Optional Dose rule.
    10. Click the Add button
  5. Require Specific Vaccine Rules
    1. This section displays the rules that exist for the series
      1. To remove a rule, click the Select button next to the rule and click the Delete button next to Remove selected Require Specific Vaccine Rules form this Series.

Doses  Tab

The doses tab allows the user to create or modify dose level rules.    A series must include at least one dose.

A new Dose will not be added to your schedule until you indicate it is done.  This is done by clicking the Manage Another Series button and then clicking Save button to save the entire schedule.   Saving prior to completion of all tabs may be possible, but can cause users of that series to experience unexpected behavior.  Therefore, be sure that you are done every tab, before trying to saving a new dose.

    1. If you are creating a new dose the dose tab will have no data. You only see the headers.

    2. If you are editing an existing dose in the series details will be displayed.

    3. Click the Doses tab

Column Name

Description

Repeating Booster

Check this box to indicate if this dose is a repeating booster.  Remember that repeating boosters are only allowed for the last dose in a series.  

Display as  Booster

Check this box to indicate if this dose should display as a  booster in immunization history .  This check box is used for a one time booster dose within a series.  This rule was created to allow users to create an one time adolescent booster for Td series at a 5 year interval before evaluating/recommending using the repeating adult booster which had longer (10 year) intervals.

Click this button to add a new dose to the series.

IMPORTANT:    To enter or modify a specific Dose, make sure that the correct dose is highlighted in Yellow on the Dose Details.      To edit a different dose number click on the Dose Number hyperlink.    In order to edit a rule you must DELETE the existing dose rule and enter a new rule.

Age Rules Tab

The Age Rule tab is used to specify the minimum, recommended and overdue ages for doses in a series.

  1.  Note to modify the Age rule, you must first delete the existing rule and add a new rule.   
  2. Select the Dose to modify
    1. Click the Dose Number in Dose Details.  The dose you are creating the rule for should be highlighted in Yellow.
  3. Enter Age Rules
    1. Enter a value in the Minimum Age text box to specify a minimum age the dose can be administered.  
    2. Select a value from the Minimum Age attribute pick list to specify the age interval for the minimum age.
    3.   Enter a value in the Recommended Age text box to specify a recommended age the dose should be administered.
    4.  Select a value from the Recommended Age attribute pick list to specify the age interval for the recommended age.
    5. Enter a value in the Overdue Age text box to specify an overdue age the dose would be considered overdue for a patient.  
    6. Select a value from the Overdue Age attribute pick list to specify the age interval for the overdue age.
    7. Enter a value in the Maximum Age text box to specify a maximum age the dose can be administered.    Patients must be less than the maximum age.     On the maximum age, the grace period will begin to apply, if a maximum age grace period os allowed for the series.
    8. Select a value from the Maximum Age Interval pick list to specify the age interval for the maximum age.
  4. Delete Age Rules
    1. Click the Delete Button on the Age tab for the highlighted dose.

Adjacent Interval

The Adjacent Interval tab is used to specify the minimum, recommended and overdue interval between adjacent doses in a series.

  1.  Note to modify the Interval rule, you must firs  t delete the existing rule and add a new rule.   
  2. Select the Dose to modify
    1. Click the Dose Number in Dose Details.  The dose you are creating the rule for should be highlighted in Yellow.
  3. Enter the Adjacent  Interval Rules
    1. Minimum Interval
      1.  Enter a value in the Minimum Interval text box to specify the minimum interval the dose can be administered after the previous dose.  
      2. Select a value from the Minimum Interval attribute pick list.
    2. Recommended Interval
      1.  Enter a value in the Recommended Interval text box to specify the recommended interval the dose should be administered after the previous dose.  
      2. Select a value from the Recommended Interval attribute pick list.
    3. Overdue Interval
      1.  Enter a value in the Overdue Interval text box to specify an overdue age interval the dose would be considered overdue for a patient after the previous dose was administered.  
      2. Select a value from the Overdue Interval attribute pick list
  4. Delete Interval Rules
    1. Click the Delete Button on the Adjacent Interval tab for the highlighted dose.

Non-Adjacent Interval Tab

The Non-Adjacent Interval Tab allows the user to specify an minimum interval requirement from a previous valid dose in the series that is non adjacent to the current dose.     You cannot enter this rule on dose 1  or 2 as those dose would not have a previous non adjacent valid dose.

  1.  Note to modify the Non Adjacent Interval rule, you must first delete the existing rule and add a new rule.   
  2. Select the Dose to modify
    1. Click the Dose Number in Dose Details.  The dose you are creating the rule for should be highlighted in Yellow.
  3. Select the Non Adjacent Dose  Number
    1. Select the valid dose number previous to this one that has a non-adjacent interval rule with this dose from the dose number pick list.
  4. Enter the Minimum Non Adjacent Interval
    1. Enter a value in the Minimum Interval text box  for the non-adjacent dose.
    2. Enter the Minimum Interval Attribute for the non-adjacent dose.
  5. Click the Add button
  6. Non-Adjacent Interval Summary section
    1.  This section displays all Non-Adjacent Interval rules for this dose in a table described below.
      1. To remove a Non Adjacent Dose rule, click the check box in the Select column and click the Delete button next to the Remove Selected Non-Adjacent intervals from this dose'

Unacceptable Vaccines Tab

The Unacceptable Vaccine  Tab allows the user to specify if a vaccine that is acceptable for the series is not acceptable for this dose within the series. .

  1. Add an Unacceptable Vaccine
    1. Select the vaccine from the Series Acceptable Vaccines pick list that are NOT acceptable for THIS dose in this series.
    2. Click the Add Button. Repeat as needed.
  2. To remove an Unacceptable Vaccine Group
    1. Select a vaccine group from the Dose Unacceptable Vaccines pick list.
    2. Click the Remove Button.  Repeat as needed.

Jump Forward Tab

The Jump Forward Tab is used to specify rules in which the patient may skip doses in the series, allowing the patient to complete in fewer doses.    The patient must meet the jump age minus the  minimum adjacent interval to jump.

  1.  Dose may have multiple jump rules.  If more than one jump rule exist for the dose, the older age rule is applied.
  2. Only one jump rule is applied to a patient in the series
  3. The Immunization Evaluator code will evaluate to determine if a jump will result in invalid doses.    When evaluating candidate series, if a patient uses a jump rule in the series, and later there is a Not Valid dose, re-try the whole series without the jump rule. If that re-try results in more valid doses in that series, don’t jump. If the re-try results in the same or less valid doses go ahead and use the existing logic (keep the jump). This is true even if the ‘no jumps’ version results in the patient being on an earlier dose in the series than it would with the jump. An exception is if the ‘jump’ version results in the series being Complete, but the ‘no jumps’ version does not.
  4. Note to modify an existing Jump Forward rule, you must first delete the existing rule and add a new rule.   
  5. Select the Dose to modify
    1. Click the Dose Number in Dose Details.  The dose you are creating the rule for should be highlighted in Yellow.
  6. Enter the Number of Doses to Jump
    1. Enter the Number of Doses to Jump
    2. Enter a value in the Minimum Age to Apply in the text box
    3. Enter the Minimum Age to Apply  Attribute for the non-adjacent dose.
    4. Click Add.  Repeat as needed.
  7. Jump Forward Rules Summary section
    1.  This section displays all Jump Forward rules for this dose in a table described below.
      1. To remove a Jump Forward rule, click the check box in the Select column and click the Delete button next to the Remove Selected Jump Forward Rules from this dose'

Minimum Interval and Age To Validate Tab

 The Minimum Interval and Age to Validate Tab allows the user to specify rules in which doses may be evaluated as valid and shorter intervals or ages than the minimum interval and  ages that are used for Recommendations.

  1. Note to modify an existing Minimum Interval to Validate or Minimum Age To Validate rule, you must first delete the existing rule and add a new rule.   
  2. Select the Dose to modify
    1. Click the Dose Number in Dose Details.  The dose you are creating the rule for should be highlighted in Yellow.
  3. Enter the Minimum Interval To Validate
    1. Enter a value in the Minimum Interval in the text box
    2. Select the Minimum Interval attribute
    3. Select the Reference Dose if the interval to validate is applied to a non adjacent dose.   If the interval should apply to an adjacent dose, leave the Reference dose as N/A so the interval will apply if the adjacent dose is valid and not valid dose.
  4. To remove Minimum Interval  to Validate
    1. Click the Delete button next to the Minimum Interval  to Validate rule for the highlighted dose.
  5. Enter the Minimum Age to Validate  
    1. Enter a value in the Minimum Age in the text box
    2. Select the Minimum Age attribute
  6. To remove Minimum Age to Validate
    1. Click the Delete button next to the Minimum Age to Validate rule for the highlighted dose.

 Optional Dose Tab

An additional dose may be required for a series to be considered complete .  If a Require Specific Vaccine rule is set up for a series, the user has the option to require an additional dose if the rule is not met .   The optional dose will only display in recommendations if it is required.

  1.   Note to modify the Optional Dose rule, you must first delete the existing rules and add a new rule.   
  2.  At this time, the immunization evaluator will not support a stand alone optional dose rule.     The optional Dose rule can only be used in conjunction with the Require Specific Vaccine Rule.
  3. Optional Dose rule should not be used with the Display as Booster or Repeatable Booster rules.
  4. Select the Dose to modify
    1. Click the Dose Number in Dose Details.  The dose you are creating the rule for should be highlighted in Yellow.   An Optional Dose rule can only be entered on the last dose in the series.
  5. To add an Optional Dose Rule
    1. Enter the Effective Date of the requirement.    Patients must be within the specified age range on the Effective Date in order for the rule  to apply.     
    2. Enter the Minimum Age of the Patient on the Effective Date
    3. Select the Minimum Age attribute
    4. Enter the Maximum Age of the Patient on the Effective Date
    5. Select the Maximum Age attribute
    6. Link the Optional Dose  to  Require Specific Vaccine Rule.
  6. To Delete an Optional Dose Rule
    1. To remove a rule, click the Select button next to the rule and click the Delete button.
