Manage Schedules

 Purpose

The manage schedules link is accessible for users that have IRIS System Manager or Developer roles.  All global schedules are owned and maintained by the IRIS System Manager under the Idaho Department of Health and Welfare.

The ACIP schedule is the primary schedule assigned to patients and is used in most of the history evaluation and forecasting features within IRIS.   ACIP is the default tracking schedule assigned to each patient when added through the Edit/Enter New Patient screen(s). If other tracking schedules are created by users, they can be selected as an alternate to the ACIP schedule in the Edit/Enter New Patient screens.

The School/Childcare schedules are used to determine if the student/child meets Idaho’s eligibility requirements for school admission or childcare attendance.  School and Childcare users do not need to select a tracking schedule for their enrollees.   The IRIS application includes logic to determine which schedule to apply to the student based on the organization type (school or childcare), the student’s birth date and the student’s high school graduation date (i.e. grade level).

Schedule Name

This is the name of the schedule that you are creating for your organization. *Note*

Template

Drop-down menu that allows a user to select the schedule they would like to build there new schedule from, or choose blank to make one "from scratch."

Description

This box can be used for typing in a description for the schedule you are creating.

Grace Period In Days

The number for days (if any) that you wish to apply to either the beginning or end of a series.

Display Vaccine/Series Recommendations

This is a check box that if selected will display the Vaccine column within the Vaccines Recommended sections of the Immunization History and Recommendations screens.   This feature is not available in IRIS at this time.

Locked To Others

This check box allows users to lock a schedule. A locked schedule can only be editing or deleting by the user who created it.

  1. Type the name of the new schedule in the 'Schedule Name' text box.  This short name will be displayed when selected for a patient. This is a required field.

  2. Choose a template that you would wish to work from, or leave blank if you want to build one from scratch.

  3. You may add a description of your schedule.

  4. If you plan to allow a grace period for validating immunizations for at least one series in the schedule, type in a number for the grace period relating to your schedule in the 'Grace Period in Days' text box.     For each individual series in the schedule, you may allow this grace period to apply to the minimum ages, maximum ages and/or minimum intervals.   You may also set a series to disregard grace period.  

  5. If you do not want others to be able to alter this series, select the Lock to Others check box.

  6. Click the Create Schedule button.

  7. You will then be taken to the Schedule Details Screen.

Column Heading

Description

Schedule Name

This is the name of the schedule that its creator chose.

Grace Period

This field displays the number in days grace period the schedule has.

Locked To Others

Displays whether or not a schedule is locked to other users

Last Updated By

Displays the user Id of who last updated the schedule.

Last Updated On

Displays the date the last update was made on.

Delete

Displays the Delete button if you are able to delete the schedule.  You should be able to delete schedules that you created or that are Not Locked to Others.  

  1. From the Schedule List select the schedule you want to edit or view by clicking a schedule name hyperlink in the 'Schedule Name' column list.

  2. The Schedule Details screen will be displayed with all of the schedule's series displayed.

Clicking the Create Schedule button will add the schedule and display the Schedule Details page for editing and saving the new schedule.

Clicking the Delete button will display a warning message asking the user to confirm the deletion of the selected schedule.

  Notes

In order for the IRIS to create and maintain a record for a patient, school, etc., there is a minimum amount of information necessary that must be provided by a user. These select pieces of information are the Required Fields and are denoted in the IRIS by the blue information field labels as seen in the example below.
